Why map first
Tools work best when the workflow is clear. A simple map shows where answers come from, where people decide and where work leaves Anchor, such as payment or delivery.
How to map
- Name the trigger: a customer question, a quote request, low stock.
- List each step in order and who does it.
- Mark each step: done in Anchor today, done by a person in Anchor, or done outside Anchor.
- Circle every decision a person must make.
What Anchor covers today
- Answering catalog questions and handing off when the answer is missing.
- Quotes that become orders when the customer accepts, with stock updates.
- Drafted follow-ups, restock suggestions and sales alerts that wait for approval.
- Outside Anchor: payments, delivery, supplier ordering and anything not in your records.

A quote workflow map
A made-up wholesale shop.
- Trigger: a buyer asks for 40 desk organisers (Anchor conversation).
- Owner prepares a quote from catalog prices (in Anchor).
- No reply after four days: Anchor drafts a follow-up; the owner approves (person, in Anchor).
- Buyer accepts: the order is created and stock updates (Anchor).
- Invoice, payment and delivery (outside Anchor).

- Choose one workflow: answering a product question, quoting, or restocking.
- Draw its steps in order and label each one In Anchor, Person in Anchor, or Outside Anchor.
- Circle the decisions and write who makes each one.
